Recording a Payment on a Job

When a client pays you — in person, by card, or through an app like Venmo or Zelle — record the payment on the job so the invoice balance stays accurate and you have a clean record of every transaction.

Why record payments?

  • Keep each invoice’s outstanding balance up to date
  • See at a glance how much a client has paid and what’s still owed
  • Track how clients are paying you in your payment-method report
  • Send the client a receipt the moment the payment is recorded

Recording a Payment

Step 1: Open the Add Payment Screen

  1. Open the job.
  2. Go to the Payments section.
  3. Tap Add payment.

The amount field is pre-filled with the invoice’s outstanding balance, so a payment in full is just one tap away. You can change it to record a partial payment.

Step 2: Choose the Payment Method

Select how the client paid:

  • Card
  • Cash
  • Check
  • Venmo
  • Zelle

Note: This records a payment you’ve already received through that method. To let clients pay an invoice online or see your Venmo/Zelle details on the invoice itself, see the Accepting Venmo Payments and Accepting Zelle Payments articles.

Step 3: Fill In the Details

  1. Confirm or adjust the amount.
  2. Set the payment date.
  3. Add an optional reference number (for example, a check number or transfer confirmation).

Step 4: Send a Receipt (Optional)

Turn on Send receipt to client to email the client a confirmation with the payment details as soon as you save. You can also send a receipt later from the payment — see Sending Payment Receipts.

Step 5: Save

Tap to save. The payment is recorded and the invoice balance updates automatically.


Payment-Method Reporting

Every payment you record is grouped by method in your payment-method report, so you can see exactly how much came in by Card, Cash, Check, Venmo, and Zelle. The report updates automatically as you record new payments.


Frequently Asked Questions

Can I record a partial payment? Yes. Just change the amount to the portion the client paid. The remaining balance stays on the invoice, and you can record additional payments as they come in.

What’s the difference between Venmo here and the Venmo payment option on invoices? Recording a Venmo or Zelle payment here logs money you’ve already received. The Venmo and Zelle options in your payment settings control what clients see on their invoice so they know how to pay you. They work together: the client pays via Venmo, then you record that payment on the job.

Do I have to send a receipt? No. The receipt is optional — leave the switch off if you don’t need to send one, or send it later from the payment.
